ERS Archiving and Phased Shutdown Underway

The landscape of effort certification at UC Davis is changing with the new ECC, or Employee Compensation Compliance, system, launching in November 2026. To prepare for the launch, Contracts and Grants Accounting is currently executing a phased archiving and decommissioning of ERS, or Effort Reporting System.

Whether you are a principal investigator certifying research effort or a department administrator managing compliance, here is everything you need to know and the immediate actions to take during this transition.

1. Action required: ERS phased shutdown underway

The sequential archiving of past ERS reporting periods began the week of August 24, 2026, with the final decommission and shutdown of ERS scheduled for September 17, 2026.

What you need to do:

• Certify immediately: PIs and supporting department staff must continue to certify all remaining open effort reports in ERS.
• Prioritize 2024-2025: Effort reports from the 2024-2025 cycle should be prioritized for immediate certification, followed by any outstanding historical periods.
• Understand the archiving process: Once a specific reporting period begins its archiving window, the ERS system will be offline for approximately two to four hours. Archiving saves a permanent PDF of the effort report and removes the live report and supporting data from the active ERS database.
• How to track status: You can review the rolling timeline and verify the status of your department’s reporting windows on the ERS Archiving Schedule and Status Table.

2. Help shape the system: Call for faculty and PI testers

Before ECC officially launches, faculty and PIs are invited to participate in user acceptance testing.

Participating in UAT is a unique opportunity to explore the ECC interface early, gain hands-on experience and identify potential issues before the system is finalized. Your feedback will directly influence the final user experience and help ensure a smooth transition for the entire campus.
